How to use KeptLabs.

Four steps, from a voice note to an answer.

    Record a voice note

    • 1.1Open KeptLabs on your phone, or scan the QR sticker on the equipment
    • 1.2Hit record and talk it through, from 60 seconds to 5 minutes
    • 1.3Add photos of the nameplate, the wiring or the part
    • 1.4KeptLabs turns it into text, keeps the original audio, and pulls out the problem, cause, fix, parts and tools
    • 1.5It's filed under the equipment or place you scanned or named
    • 1.6No signal? Once KeptLabs is on your home screen, the note waits and uploads later
  2. /02

    Ask

    • 2.1Ask in plain words: "chatter on the 17-4 finish pass", "gate code at Elm St", "how do I reset RTU-3"
    • 2.2Get an answer from your team's notes, with the notes it used
    • 2.3Checked notes come first; flagged ones are left out
    • 2.4If your notes don't cover it, KeptLabs says so and gives general advice, clearly labelled
    • 2.5Search works too, in English or Spanish

    Ask the team

    • 3.1Pick the teammate who knows and send the question
    • 3.2Mark it urgent when something is down
    • 3.3They get one email, and one reminder after 2 working days
    • 3.4They answer by voice or typing, and the answer is saved as a note for everyone
  4. /04

    Keep it right

    • 4.1Admins and the experts they pick can check a note, or flag it as outdated or wrong
    • 4.2Checked notes get a badge and come first in answers
    • 4.3The person who recorded a flagged note gets one email to record it again
    • 4.4A "Needs checking" list shows recent notes nobody has checked yet

    Equipment and place pages

    Add your equipment and places once. Each gets its own page with its notes in sections, and a QR sticker you print and stick on. Anyone on your team can scan it with a phone camera to open the page, read what the team knows, or record a new note right there.

  • 02

    Photos that get read

    Snap the nameplate, the wiring, the gauge. KeptLabs describes each photo and copies any text it can read, like part numbers and model plates, so searching for that number finds the note.

  • 03

    Handover before someone leaves

    Make a handover plan for anyone who is leaving: a list of what they should record before they go. They see it on their dashboard and record each item, and you see what's done.

    Training lists for new hires

    Build a training list from your notes, or start from one KeptLabs makes from your equipment and places. Assign it to new hires; they play through it on their phone or mark each note "Got it", and you see their progress.

    English or Spanish

    Someone records in Spanish, someone else reads it in English, and both can search in their own language. The original words are always kept, one tap away. The app's menus are in English for now.

    Records with no signal

    With no signal, notes wait safely on the phone and upload when it's back online (on iPhone, the next time you open KeptLabs). Searching and asking need a connection.

    Owner dashboard and Monday email

    Admins see real numbers: how many questions were answered from notes, how many equipment and places have notes and how many only one person has recorded, and the questions nobody could answer. On Mondays they get a short email with the last week's notes and questions.

    A printable sheet

    For the wall next to the machine or the binder in the truck: one page with the notes your experts have checked, and a QR code that opens the latest in KeptLabs.
